Overview
SimaPro multi-user has the feature to manage users within your database. This can only be done by the Manager. Therefore, organizations should appoint a SimaPro Manager internally as it is only possible to have 1 Manager per database. Managers have a full right where they can create new users and user types. They are the only ones who can carry out database management actions, such as database import/export, database check, database backup, etc. These actions of creating and managing users can be done by logging in as Manager in SimaPro, open the database from the server, and then go to Tools > User management.
Creating users
Important notes when creating users
Only the SimaPro Manager can create new users and user types.
Please ensure that the database is accessed via the SimaPro database server (SimaProNexusDB@...) as this is necessary for the Tools > User Management option to be visible.
In SimaPro multi-user, users are defined at the database level, which means you can have different users for different databases. Please follow these steps to define users in SimaPro multi-user.
Go to Tools > User Management > Users. You will see four pre-defined users by default:
Manager
Expert
Visitor
Practitioner
Click "New"
Define the name of the user and the password. Every user can be required to enter a password. If the password is left blank, the password check is skipped.
Define the user type. A user type defines the rights for specific actions the user is allowed, such as creating a process or deleting one. By default, there are three types of user types:
LCA expert
LCA practitioner
Visitor
Note: The "Users" and "User types" mentioned above are set up by default. However, all of these options are editable. You can add your own user types and assign users accordingly to fit your needs.
Assigning projects and managing users
After creating users, you need to assign them to projects they can access. There are several ways to do this:
Manually
Using this option, you manually assign each user to projects they may access. You can do so by clicking "Add". Once you have selected all the necessary (library) projects, click "OK" to save changes. Additionally, you have the option to designate one user per project or library as the project manager. This role allows the project manager to assign work rights to other users within that project. To do so, you simply need to click "Set Manager" on the corresponding project.
Note: Being a project manager means that you have the ability to edit the project descriptions and manage access rights for other users within that project. However, this does not allow you to change your own rights or profile settings beyond that.
Via an import wizard
The "Import Wizard" feature helps you to automate the process of creating users and assigning projects, especially if you have a large number of users. The step-by-step on how to do this is explained in this article.
Via importing an Excel file
If you need more advanced functionality with more flexibility to create individual options per user, you can use the "Import Excel" feature. Find out how to import users from Excel on this page.
